To ensure a safe and enjoyable environment for all riders, please take note of the following rules:
Supervision of Children
Children under 16 may not be dropped off or left unattended at the yard outside of their scheduled lesson times. An adult must accompany children under 16 outside of scheduled riding times.
Riding Attire & Safety Gear
Correct riding attire is required when handling or riding horses:
• Closed shoes with a small heel
• Long pants
• A safety helmet (provided by the school)
Optional but strongly recommended: water, sunscreen, long-sleeve shirts, riding gloves and a sun hat for use before and after the ride.
Use of Personal Tack
All school ponies must be ridden in Camelot Riding School tack only.
Personal saddles, bridles, or saddle pads may not be used.
Feeding Horses
Not all ponies may receive sugary treats (e.g., apples, carrots). Please confirm with your instructor or our yard manager before feeding any horse.
Please read and accept this electronic Waiver before participating in any activities at Camelot Riding School. This form is a legal document and must be accepted by a parent or legal guardian if the rider is under 18 years of age.
“Camelot Riding School” refers to Camelot Riding School CC, including but not limited to its owners, members, employees, instructors, volunteers, pupils, and any other persons acting on its behalf or under its authority. Client refers to the rider (parent or legal guardian in the case of minors), on behalf of the Member/Pupil (the child or rider)
I acknowledge and understand that:
Horse riding and related activities involve inherent risks, including but not limited to injury, death, or property damage, which may result from falls, kicks, bites, collisions, or unpredictable horse behaviour.
Camelot Riding School will take all reasonable precautions to ensure the safety of participants, but cannot eliminate all risk associated with horse-related activities.
I confirm that:
I (or my child/ward) am participating in activities at Camelot Riding School voluntarily and of my/our own free will.
I am physically and mentally fit to participate (or the rider is, if a minor).
I, the undersigned (or the parent/guardian of the rider), hereby:
Indemnify and hold harmless Camelot Riding School from any claims, demands, damages, or losses arising from participation in riding or other activities, including trail rides and lessons.
Understand that this indemnity applies to loss, injury or damage whether as a result of negligence or otherwise.
In the event of an accident or emergency:
I authorise Camelot Riding School to seek and provide emergency medical treatment for the rider if necessary.
I accept responsibility for any medical costs incurred as a result.
I give permission for photographs or videos taken during activities to be used for promotional and social media purposes. If I do not want myself (or my child) to feature in promotional and social media material, I will notify the instructor.
In accordance with the Protection of Personal Information Act (POPIA):
I consent to the collection, processing, and secure storage of my personal and/or my child’s personal information by Camelot Riding School for administrative and safety purposes.
I understand that this information will not be shared with third parties without my consent unless legally required.
By accepting this waiver, the Client acknowledges that they:
Have read and understood this indemnity and consent waiver.
Agree to abide by all safety rules and instructions given by Camelot Riding School staff.
Confirm that all information provided is true and correct.
Agree to be bound by this Waiver and the accompanying Contract
This Membership Agreement (“Agreement”) is entered into by and between Camelot Riding School CC (“Camelot”, “we”, “us”), and the Client (parent or legal guardian), on behalf of the Member/Pupil (the child or rider), for participation in Camelot Riding School programs.
By signing this Agreement, you acknowledge and agree to the terms and conditions outlined below, including the separate Waiver (Indemnity & Consent Form), which must be completed prior to participation.
1. MEMBERSHIP AND LESSON ACCESS
Membership at Camelot Riding School provides access to equestrian lessons in accordance with the selected lesson package.
Packages are offered on a monthly basis and include a specific number of lessons per month, depending on the package selected.
Additional services (including lesson top-ups, outrides, clinics, special events) may be purchased and booked via the Octiv platform.
Membership is personal to the registered pupil/member and cannot be transferred without written consent from Camelot.
Riders must be at least 3 years old to participate.
Children under the age of 18 must have a parent or legal guardian complete all registration and waiver documents on their behalf.
2. FEES, PAYMENTS AND BILLING
Membership fees are billed monthly on the 25th of the preceding month and must be paid in full before first lesson of the month.
All fees are to be paid in advance by EFT or direct deposit.
Proof of payment (including account number) must be submitted to the designated contact email: accounts@camelotridingschool.co.za
Late payments will incur interest, and any overdue account handed over for collection will be charged an additional 20% administrative recovery fee.
All membership packages auto-renew monthly unless cancelled in accordance with Section 4.
All additional services offered by Camelot Riding School—including but not limited to lesson top-ups, outrides, clinics, and special events—must be booked and paid for via the Octiv platform. Payment for these services must be made at the time of booking using your preferred electronic payment method, such as VISA, Mastercard, Apple Pay, or any other payment options enabled on the platform. Access to these services is only confirmed upon successful payment through Octiv. Camelot reserves the right to deny access to unpaid services or events.
3. LESSON CANCELLATION AND MAKE-UP POLICY
Cancellations must be made at least 24 hours in advance via the Octiv platform to qualify for a makeup lesson. Missed lessons not cancelled in time are forfeited and will not be rescheduled.
Validly cancelled lessons must be rescheduled within the same calendar month and are the responsibility of the Client/Member to rebook.
Lessons continue regardless of weather; in cases where riding is not possible due to weather, theory lessons (e.g., grooming, horse care, behaviour, tack and equipment etc.) will be conducted.
Lessons continue on public holidays unless cancelled in accordance with the standard cancellation policy.
4. MEMBERSHIP CANCELLATION AND FREEZING
Clients may cancel their membership by providing one full calendar month’s written notice, effective from the first day of the following month.
For example, notice given on June 10th will be effective from July 1st, with final lessons concluding on July 31st.
Camelot reserves the right to cancel a membership immediately if:
A member or guardian behaves in a way that endangers others or breaches safety protocols
Repeated failure to adhere to rules or payment terms occurs
Memberships may be frozen for a full calendar month in the case of injury, illness, or extended absence, provided written notice is given, and medical or travel documentation may be requested.
5. CODE OF CONDUCT AND SAFETY POLICY
All riders must wear appropriate safety attire, including a hard hat, long pants, and closed shoes.
Riders and parents/guardians must comply with all safety instructions and facility rules as directed by Camelot instructors and staff.
Camelot reserves the right to deny participation to any member deemed unfit or non-compliant with safety standards.
Misconduct, dangerous behavior, or verbal abuse by a parent, guardian, or pupil may result in immediate suspension or termination of the membership.
6. AGE REQUIREMENTS AND PARENTAL RESPONSIBILITIES
Riders must be at least 3 years old to participate in lessons.
Riders under 18 must have all required documents completed and signed by a responsible adult.
Parents/guardians are responsible for ensuring their child arrives on time and is collected promptly after each lesson.
7. RISK ACKNOWLEDGEMENT AND WAIVER
All Clients must accept a Waiver (Indemnity & Consent Form) before lessons begin.
This waiver outlines:
- Acknowledgement of the inherent risks of horse riding
- Medical consent in the event of an emergency
- Photography and data privacy consent
- Indemnification of Camelot Riding School from injury or loss
- No rider will be permitted to participate without this document.
8. DATA PROTECTION AND PRIVACY
All personal data collected will be processed and stored in accordance with the Protection of Personal Information Act (POPIA).
Information is used solely for safety, administration, and communication purposes.
Personal data will not be shared with third parties without your consent unless required by law.
9. CHANGES TO SERVICES OR SCHEDULES
Camelot reserves the right to modify or cancel lessons, operating hours, or services due to weather, instructor availability, mechanical breakdown, or other unforeseen circumstances.
Camelot will communicate any changes promptly but is not liable for delays or interruptions outside of its control.
10. ACCEPTANCE OF TERMS
By accepting this contract, the Client and or Member acknowledges that they:
Have read and understood the terms of this Agreement
Will ensure that the pupil/member complies with all facility rules
Understand that riding involves inherent risk and voluntarily accept that risk on behalf of the rider
Agree to be bound by this Agreement and the accompanying Waiver
